A property inventory report is a detailed, dated record of a property's condition, fixtures, fittings and contents at a specific point in time — usually the start of a tenancy. It's supported by clear written observations and comprehensive photographic evidence.
Without one, there's no independent record of how a property looked before a tenant moved in, which makes it far harder for landlords, tenants or agents to resolve disagreements about damage, cleanliness or missing items later on.
It isn't a strict legal requirement, but it's strongly recommended for every tenancy. Gibraltar doesn't operate a government tenancy deposit scheme, so there's no formal adjudication service to fall back on if a dispute arises — an independent, professionally prepared report is often the clearest evidence available if a disagreement over a deposit ends up with the Gibraltar Office of Fair Trading (OFT) or in front of a lawyer.
Check-In Inventory: a full, detailed record of the property's condition, cleanliness, fixtures, fittings and contents at the start of a tenancy.
Check-Out Report: carried out at the end of a tenancy, comparing the property's current condition against the original Check-In Inventory to highlight any changes.
Interim Inspection: a mid-tenancy visit with photographs and written observations on the property's general condition, useful for catching maintenance issues early and reassuring an absent landlord.
Most commonly it's the landlord or their letting agent, since they're usually responsible for demonstrating the property's condition at the start of a tenancy. That said, tenants are welcome to request an independent inventory for their own peace of mind. Having clear, impartial evidence protects everyone's interests, not just the landlord's.

Not necessarily. For a Check-In, it can help to be there so we can note anything specific to your property, but it isn't required. If you can't be present, our Key Handover service means we can meet the tenant, hand over keys, and provide a signed key receipt for both parties on your behalf.
It depends on the size and condition of the property, but as a guide, most Check-In or Check-Out visits for a one or two-bedroom property take somewhere between 45 minutes and 90 minutes. Larger properties, or those with additional rooms, will take longer. We're always happy to give you an estimate when you book.
We go room by room, documenting the condition of walls, floors, ceilings, doors and windows; fixtures like lighting, sockets, and kitchen or bathroom fittings; the make, model and condition of any appliances; and the condition of any furniture provided with the property. Everything is supported by clear photographs, and any pre-existing marks, wear or damage are noted clearly so there's no ambiguity later.
If we can't get into the property at the agreed time — for example, no one is available to let us in or keys aren't where expected — we'll try to reach you straight away, but the appointment may need to be rescheduled. This is treated the same way as a late cancellation under our booking terms, since it affects our ability to serve other bookings that day.
Reports are supplied as professionally formatted PDF documents. Once payment has been received, we'll email your completed report within the timeframe confirmed when your booking was accepted.
Just get in touch within a reasonable time of receiving the report and let us know your concern. We'll review it — including the original photographic evidence — and respond with a correction, clarification, or an explanation of our original findings. We aim to resolve any concerns about the accuracy of our reports directly and informally wherever possible.
Our reports provide clear, independent evidence of a property's condition at a given point in time, which is often central to resolving a disagreement. However, we provide condition reporting only — we don't make decisions about deposit deductions or what counts as fair wear and tear. That responsibility sits with the landlord or managing agent, and where a dispute can't be resolved directly, it would typically go through the Gibraltar Office of Fair Trading (OFT) or independent legal advice, since Gibraltar doesn't have a government deposit scheme.
No. Our role is to record the property's condition at the time of the inspection and, where appropriate, compare it with the available Check-In Inventory.
We do not determine whether a landlord or tenant is responsible for any damage, assess fair wear and tear or recommend deposit deductions. Those decisions remain the responsibility of the landlord, managing agent or other relevant parties in accordance with the tenancy agreement.
An independent inventory company provides an impartial record of a property's condition and contents. Because we're not responsible for managing the tenancy or deciding how any tenancy deposit should be distributed, our role is simply to document what we see accurately and consistently.

Our pricing is simple and transparent — you can see full details on our pricing page. Properties with additional rooms (such as a study or extra reception room) may incur a small supplementary charge, which we'll confirm before your booking is finalised.

Just let us know as much in advance as possible. Cancellations made within 24 hours of a confirmed appointment (or where access isn't possible on the day) may incur a £40 cancellation fee. Full details are in our Booking Terms & Conditions, which are provided when we confirm your appointment.
No — we're fully independent. We're not affiliated with any letting or estate agency, which means our reports are impartial and can be trusted equally by landlords, tenants and agents alike.
Yes. Our Key Holding & Contractor Access service lets us securely store your keys and arrange access for contractors, cleaners or maintenance visits on your behalf. It runs on a 6-month minimum term, then continues on an ongoing basis until you ask us to stop.
